Victrove refund policy

Last updated: 1 October 2026. This Victrove refund policy explains how billing and refunds work for Victrove ERP subscriptions, project milestones and template purchases, and how to ask for a refund.

Victrove ERP subscriptions

Free trial

Victrove ERP comes with a 14-day free trial. We do not charge you during the trial, so there is nothing to refund if you decide not to continue. If you do not choose a plan by the end of the trial, the trial simply ends.

Annual plans

Victrove ERP plans are billed once a year, in advance, plus GST. You can see the current plans on the Victrove ERP pricing page. The price on your invoice is the one that applies to that year.

Cancelling

You can choose not to renew at any time before your next billing date. Your plan stays active until the end of the year you have paid for, and it is not renewed after that. Because the trial lets you try the product before paying, we do not usually refund the unused part of a year that has already started.

Billing errors and duplicate charges

If you were charged twice, charged the wrong amount, or charged for something you did not order, tell us. Once we have checked it, we refund the extra amount in full. Other refund requests are looked at case by case, and we will explain our decision either way.

Projects

Custom projects are billed in milestones, as set out in the written quote for each project.

  • Work that has been done is billable, whether or not the project continues.
  • If a project stops before it is finished, we bill for the work done up to that point, as set out in the quote.
  • Where the quote provides for it, any advance that has not been used for work done is refunded on a pro-rata basis.
  • If a project stops, we hand over the work completed and paid for up to that point.

If you are unhappy with the work, please raise it with us early. Most problems are easier to fix during a milestone than after it.

Templates

Templates are delivered as files, so we do not usually refund a template once it has been delivered. If a template is materially different from its description and we cannot fix it, write to us and we will refund it.

How to ask for a refund

Write to the email address on our Contact page with "Refund request" in the subject, and include:

  • Your name and company.
  • The invoice number, date and amount.
  • What the refund is for, and why.

We will confirm that we have received your request and tell you the outcome. Approved refunds are paid back to the original payment method where possible, or by bank transfer. Where GST was charged, we issue a credit note for the refunded amount.

Questions

If anything in this policy is unclear, or you are not sure whether a charge is right, ask us before you pay or as soon as you notice. You can reach us through the Contact page.
